Subject: AWARD OF CONTRACT FOR HVAC WORKS AT NEW SINDH

              ASSEMBLY BUILDING KARACHI.

 

Dear Sir,

 

Reference your tender bid for the subject work opened on 22nd November 2011 and subsequent Construction Committee Meeting held on 22nd November 2011 chaired by the Honourable Speaker of Provincial Assembly of Sindh in the presence of Consultants.

 

Reference your tender bid and subsequent recommendation made by the Consultant vide letter No.NSA(P)-0194/2011/7774 dated 28th December 2011, it is to inform you that the competent authority of Building Construction Committee approved your bid in the meeting of the Construction Committee held on 23rd December 2011 under the Chairmanship of Hon’ble Speaker, Provincial Assembly of Sindh and decided to award you the Supply, Installation, Testing & Commissioning of HVAC System on total cost of Rs.394,204,494.00 (Rupees Three Hundred Ninety Four Million, Two Hundred Four Thousand, Four Hundred Ninety Four only) as per following terms & conditions:

 

1.      Your total bid amount of HVAC Works approved & accepted by the competent authority of Building Committee for Rs.394,204,494.00 (Rupees Three Hundred Ninety Four Million, Two Hundred Four Thousand, Four Hundred Ninety Four only) including the cost of sub-item No. EF-6, EF-7 & VF-2 of Main Item No.25 of BBQ as per undertaking tendered by you vide letter No.ES/NS/004-2011 dated 07-12-2011 (these items were included in Addendum No.2 but you have not quoted the rates of these items due to which you submitted the undertaking that these items shall be executed within the cost of tender bid and not claimed separately in any case) even in variation of quantities.

 

2.      On approval dated 23rd December 2011 by competent authority your above tender based on total bid amount of Rs.394,204,494.00 has been accepted for HVAC Works.

 

3.      No extra claim for anything including escalation in prices of materials and etc will be given.

 

4.      The Client/Consultant reserves the right to delete, increase the items if they desire to do so at any stage in the interest of work.

 

5.      This letter of award and other relevent correspodence & minutes of the meetings for finalization of contract shall be treated as part of contract. 

 

6.      This letter may be treated as work order and you are hereby instructed to commence the work immediately after taking over the possession of site from Project Director/Project Engineer of New Sindh Assembly Building.

 

7.      The working drawings may please be collected from the office of the Project Director of New Sindh Assembly Building Karachi.

 

8.      You are also instructed to collect the tender documents from office of the Project Director and return Six (6) copies of the same plus original tender/bid documents duly singed & stamped on each paper.

                                                                                                                   

9.      Work Plan in CPM (Schedule of work) shall be submitted within Seven (7) days on receipt of letter if intent (work award letter).                          

 

10.  Work shall be started within Seven (7) days on execution of contract agreement or on taking over the possession of site from Project Director/ project Engineer of Project which is earlier.

 

11.  Work shall be executed in accordance with the Conditions of Contract Specifications, Bill of Quantities, Addedums, Drawings and as per the instructions to be given to your firm from time to time in the interest of work by the Consultant/Client.

 

12.  Work shall be completed within the period of 18 Months as stipulated in contract which shall be reckoned from the date of start of work.

 

13.  List of equipment being used with list of manpower being deployed at site shall be submitted.

 

14.  Performance bond in shape of Bank Guarantee or Insurance Guarantee from approved Insurance Company, as mentioned in contract documents, equivalent to 10% of contract amount i.e. Rs.39,420,449.00 valid for currency of contract and defect liable period shall be provided.    

 

15.  In order to avail the facility of Mobilization Advance, you may apply for the same by submitting guarantee from schedule bank or from approved insurance company, as mentioned in contract documents, which shall be recovered from running bills @ 10% of mobilization amount.

 

16.  Work shall be executed in close coordination with other agencies involved for execution of Civil & Electrical, Plumbing, Furniture work, BMS & Signage System etc to avoid hindrance of break in work.

 

17.  Material to be used shall be according to specifications and shall be in a perfect manner moreover submittal shall be submitted for approval well before in time.

 

 

You are  therefore directed to contact the undersigned within Seven (7) days on receipt of this letter for signing of contract agreement immediately on appropriate value of Judicial/Stamp Paper ( Proforma enclosed) failing which the contents of this letter shall be null & void.

                                                                                                                             

                                                                                                               

You are also directed to submit the four copies of above undertaking on your letter head duly signed by authorized representative before signing of proper agreement.
